Event Planning Timelines
Countdown frameworks for weddings, parties, and corporate events - including COI and vendor confirmation milestones.
Timelines create calm. Adapt the frameworks below to your lead time - destination weddings and large festivals need longer runways than a backyard birthday.
12-month style runway (weddings / large celebrations)
| Window | Focus |
|---|---|
| 12-9 months | Vision, budget, venue holds |
| 9-6 months | Key vendors, save-the-dates |
| 6-3 months | Details, floor plans, travel blocks |
| 3-1 months | Final counts, insurance/COI, permits |
| Final 2 weeks | Confirmations, weather tree, contacts |
8-week runway (many private parties)
| Week | Focus |
|---|---|
| 8-6 | Venue / home plan, guest list |
| 6-4 | Catering / entertainment holds |
| 4-2 | Insurance if required; rentals |
| 2-1 | Final counts, layout, day-of timeline |
| Event week | Confirm COI acceptance, weather call |
Corporate compressed timeline
Work backward from the venue's BEO deadline. Insurance certificates are often due with the final banquet paperwork - put them on the same project plan as AV and menu.
Make the timeline shareable
One spreadsheet or shared doc with owners and due dates beats five text threads. Include vendor arrival times and a single escalation contact.
