What to prepare before quoting

  • Event name and description
  • Date(s), set-up and tear-down windows if requested
  • Venue or park address
  • Expected attendance
  • Whether alcohol will be sold or served
  • Whether the site needs to be named as additional insured
  • Any unusual attractions (inflatables, stages, pyrotechnics - disclose everything)

Tips for smoother COIs

  • Match the insured name to the permit holder or contract signer.
  • Request the certificate early; some cities need review time.
  • Confirm exact additional insured wording from the permit or lease.
  • If vendors have their own insurance, that does not always replace the organizer’s event policy - venues usually want the host/organizer covered.
